This Refund Policy applies to all subscriptions to the KollabHR platform, sold by Koverhoop Technologies Inc. (“Koverhoop,” “we,” “us,” or “our”). Payments are processed on our behalf by Stripe, Inc. (“Stripe”). Koverhoop Technologies Inc. is the seller of record for all KollabHR subscriptions. By completing a purchase, you authorize Stripe to process your payment in accordance with Stripe’s terms of service and privacy policy, available at stripe.com, in addition to this Policy.

1. Overview

KollabHR is a cloud-based HR management platform provided by Koverhoop Technologies Inc. (“Koverhoop”, “we”, “us”). Payments are processed by Stripe, Inc. (“Stripe”) on our behalf. By subscribing to KollabHR, you agree to this Refund Policy.

2. 14-day right of withdrawal

As a matter of company policy, customers have the right to request a full refund within 14 days of their initial subscription purchase, without providing a reason, provided that:

• The request is submitted within 14 days of the original transaction date;
• The account has not been actively used (e.g. employees have not been added, HR data has not been entered, or platform features have not been meaningfully utilized during the 14-day period).

This 14-day right of withdrawal applies to initial subscriptions only. It does not apply to subsequent automatic renewals.

To request a refund under this right, please contact us at admin@koverhoop.com within the 14-day window. Refunds are processed by Stripe and returned to the original payment method.

3. Free trial subscriptions

Where a free trial is offered, your payment method will be charged automatically at the end of the trial period unless you cancel before the trial expires. We will send a reminder before your trial ends.

If you are charged at the end of a free trial and wish to cancel, you may request a refund within 14 days of that first charge, subject to the conditions in Section 2 above.

4. Monthly subscription renewals

After the initial 14-day withdrawal window, all subscription fees are non-refundable. This includes:

• Monthly renewal charges;
• Partial months following a mid-cycle cancellation;
• Plan upgrade charges.

Cancellation of a subscription takes effect at the end of the current billing period. You will retain access to the platform until the period ends, but no refund will be issued for unused time.

5. Exceptions — billing errors and technical failures

Notwithstanding Section 4, a refund or account credit may be issued at our discretion in the following circumstances:

• A duplicate charge was made due to a billing system error;
• An incorrect amount was charged due to a pricing or processing error;
• KollabHR experienced a material service outage or technical failure that prevented use of the platform for a significant portion of a billing period.

To request a refund under this section, contact admin@koverhoop.com with your account details and a description of the issue. We will review requests within 5 business days.

6. How to request a refund

All refund requests must be submitted by email to admin@koverhoop.com. Please include:

• Your registered account email address;
• The transaction date and amount;
• The reason for your request.

Approved refunds are processed by Stripe and may take 5–10 business days to appear on your statement, depending on your payment method and bank.

7. Statutory consumer rights

Nothing in this Refund Policy limits or excludes any rights you may have under applicable consumer protection legislation, including the Consumer Protection Act (Quebec) and any equivalent federal or provincial statutes. Where statutory rights provide a greater entitlement to a refund than stated in this policy, those rights take precedence.
